MEMORANDUM

TO: Deans, Department Chairs, and Graduate Program Directors
FROM: David Francko, Dean of the Graduate School
SUBJECT: GRADUATE ASSISTANT TUITION AWARDS – FALL 2007 AND SPRING 2008

Thank you for supporting the workshops that we ran on three dates in April! A total of 39 Administrative staff representing 34 departments attended from each and every academic college plus three non-academic units. If you would like us to visit your college or area in the next few weeks and present the same session just for your administrative staff please contact John Chambers at 348-8282.

The requests for tuition awards for qualifying graduate students for the fall 2007 and spring 2008 semesters are due in this office by the following dates:

Fall 2007– June 25, 2007 Spring 2008– October 22, 2007

These deadlines will permit sufficient time for registering these awards on each student’s account before the deadlines for confirmation of schedules, which are as follows:

Fall 2007– August 10, 2007 Spring 2008– December 7, 2007

Please make a note of these important dates in your department calendars. They are very important! Departments MUST submit their tuition award forms as soon as possible but no later than these deadlines in order to avoid placing students in the position where they are not able to confirm their class schedules.

These dates are unchanged from those already advised to you by John Chambers via email March 8, 2007. A copy of that deadline sheet, which includes all deadlines for graduate assistantships related matters, is enclosed as appendix 14.

There have been no significant changes in the requirements for graduate students to be approved for tuition awards since last year; however, please take the time to peruse the attached documents as they include important information about who qualifies for tuition awards.

Some confusion has arisen where graduate students receive multiple assistantships or a combination of assistantship, fellowship, and scholarship, all of which carry tuition awards. Please remember that a student may NOT receive combined tuition awards that total more than the maximum tuition rate for 9 hours. This is not a new ruling and does not affect any awards that are not specifically for tuition.

All tuition amounts are based upon current rates and, of course, are subject to change at the Trustees meeting in late July. In the meantime, please complete all forms using current rates; Student Receivables will automatically update any changes.

Do not use old forms as changes continue to be made to improve all of the Graduate School’s administrative processes and the most up to date version of all of the forms that are to be used can be downloaded from the Graduate School web site at the following address:
http://graduate.ua.edu/admin/forms/index.html
and from the Contract & Grant Accounting Office web site at:
http://cga.ua.edu/c&gaccounting_forms.html

Please make sure that copies of this memo are forwarded to everyone in your area who has any responsibilities relating to the preparation of tuition forms for your graduate assistants. If you need any additional copies of this memo please go to the Graduate School web site and download copies directly.
